Note:
Exhibitor must contact the Technical Department of the exhibition regarding size and weight of large exhibits no later than 30 days prior to installation.
When planning the layout and practical demonstartion of various technical facilities and service equipment, units, hardware, machinery at a stand, as well as in the course of demonstration welding and other hot work, the Exhibitor shall not later than the date specified in the Manual of the participator of the specific exhibition/or event send to EF-International Ltd. a Letter indicating reference data and technical specifications of equipment on display and ancillary facilities, specify the list of materials used for demonstration. Where heavy equipment (over 1 t) has to be exhibited, dimensions and wheight of the same have to be specified.
The technical managment board of EF-International Ltd. inspects the documentation and, as and when necessary, within 3 days makes a request for providing additional information and documents. After receiving and inspecting the required set of documents the technical managment board of EF-International Ltd. makes a decision on granting a demonstration work permit to the Exhibitor or layout equipment on display.
Without prior written consent form the EF-International Ltd. practical demonstartion of various technical facilities and service equipment, units, hardware, machinery at a stand or in a pavillion, as well as demonstration welding and other hot work are prohibited.
All stand equipment ordered will be available on а loan basis only for the duration of the exhibition. Wall panels and other stand material must be returned after the exhibition without any damage caused by nailing, drilling, wall papering, inappropriate self-adhesive tape etc. The cost of repair or replacement of damaged equipment will be charged to the exhibitor. No additional fittings may be attached to the stand shell structure so please ensure that you have enough chain, hooks, etc. to hang posters, banners, etc.
Stands will be built using Octanorm or other systems, that is aluminum poles and beams and plastic laminated panels.
The overall size of standard wall panels used is - 100 х 250 cm.
In case any items included in the standard package are not used, the cost of these items is not reimbursed.
To stabilize construction it might be essential to include additional supporting poles and beams or wall panels which are not necessarily shown on our stand layouts. For further information please contact the Organiser's Technical Service.
Exhibitors with space only sites must comply with the following rules and regulations with regards to their stand designing, building up and decorating.
1. Not later than in 15 days prior to the beginning of exhibition mounting (exposition, action) the company planning to carry out mounting and dismantling, engineering and design works (hereafter – the DEVELOPER) in the territory of EC LENEXPO, represents to ExpoForum-Design Limited the following documents:
The letter fr om the company-exhibitor with the petition for admission to erection of a stand of the company-developer with attached list of equipment and materials, subject to import and export, certified by the director of the company-exhibitor;
The explanatory note to the stand project;
The stand design project executed in the three-dimensional projection, certified by the director of the company-developer;
The stand (exposition) layout plan (drawing) with the scheme of arrangement of water consumers, machines, refrigerator and other equipment, certified by the director of the company-developer. For two-storey stand – floor-by-floor drawings (plans);
The stand isometric view certified by the director of the company-developer (Form 5). This shall be represented in addition:
А) For two-storey stand and stand with podium, with the height above 1 m:
- Three-dimensional model of a platform (podium)
- Technical documentation on the construction set of a platform (podium)
- Calculation of static strength of a platform (podium)
В) For stand where non-standard bearing elements are provided, in addition the technical documentation on these elements shall be represented.
The electric circuit of the stand with locations of electric board and the main consumers, signed by the director of the company-developer;
The power supply scheme of the stand signed by the person responsible for carrying out of electrical mounting work;
The order of the head of the company-developer on the letterhead with stamp about the assignment at this exhibition:
- the responsible person for carrying out electric works and condition of electrical equipment of stand, not below the 4th electrical safety group, with a right to work as administrative technicians;
- the responsible person for ensuring the fire safety;
- the responsible person for carrying out mounting/dismantling works and work safety at the stand.
The list of the personnel having the permission to carry out electrical works (on the letterhead of the company), participating in stand mounting at the concrete exhibition (action), signed by the head of the company;
The list of erectors participating in mounting/dismantling works at the exhibition (stand), certified by the director of the company (the erectors specified in the list should have the permission for work and registration in the RF);
The developer record card (essential elements);
A copy of the Certificate of Conformity to international standards ISO 9000 (GOST R ISO 9001-2008) or a copy of the Competency Certificate issued by self-regulating construction organization (SCO);
The X-copies of certificates of the electrical personnel specified in the list, not below the 3rd electrical safety group, with the mark of certification;
The X-copy of protocols (or magazine) of examinations of the electrical personnel;
The X-copy of the certificate of passing the training on the basics of fire safety of the responsible person for ensuring the fire safety;
The Certificates of Conformity on imported equipment and certificates of fire safety (See the Appendix 2, p. 5) on used materials;
A copy of an agreement on insurance of the risk of liability of the developer for obligations arising as a result of damage caused to the life, health or property of other persons for the term of mounting and dismantling works and exhibition work.
1. Makeshift units, temporary facilities, exhibition stands may only be set up within the boundaries of a marked-out area, passageways to remain free of packaging and building refuse. Where the layout of facilities so installed is found in contravention of the general marking the contractor shall, at its own expense, dismantle and re-install the facilities. No structural components may project outside the allotted area to be built up.
2.The height of temporary facilities and units to be set up in open spaces pertaining to EXPOFORUM Centre shall be in conformity with technical solutions provided for by the respective working design. Maximum possible height of temporary facilities and units to be set up in pavilions of EXPOFORUM Centre shall be as follows:
- pavilions Nos. 1, 2, 3 – 6 metres.
Maximum allowable limit for distributed floor load caused by structures, equipment and machinery, including the Exhibitor’s equipment, shall not exceed the following values:
- pavilions Nos. 1, 2, 3 - 2,5 t/sq.m.
3.Only pre-stressed glass may be used. At a height of over 1.8 m fr om floor level to the upper edge of a facility to be installed, only triplex type safety glass may be used. Glass walls and doors shall bear a conspicuous lettering or pictorial image at a height of 1.5 m.
4.The walls of makeshift units, exhibition stands and facilities and any other means of advertising shall be stable and may not jeopardize health and life of the third persons; framework and elements of the walls and other structures so installed with the use of combustible materials shall be flame-proofed. Back-wall of a stand included in a modular unit (where higher than the neighbouring stand) shall be coloured white, and may not bear any lettering or pictorial images whatsoever. Framework structure of suspended ceilings shall be of non-combustible materials only. The Contractor shall be held liable for safe installation of any structures and shall be capable of proving the same where necessary. Temporary facilities, makeshift units, exhibition stands to be set up by the contractor may not be secured with the aid of neighbouring temporary facilities, makeshift units and exhibition stands.
5. Temporary facilities, makeshift units and exhibition stands and structures may no t be fastened to stationary walls and floor of EXPOFORUM Centre’s pavilions.
6. Installation activities at EXPOFORUM Centre inside the pavilions shall utilizeelements of a high degree of availability, pre-fabricated and coated at the builder’s production facilities. Inside the EXPOFORUM Centre’s pavilions, only assembly of ready elements, sealing and coating of joints shall be allowed, with floors in passageways to be covered with safety film. The use of fixed disk saws, file board sanders not outfitted with dust collectors, naked flame, welding work is prohibited.
7. The use of building materials with fire hazard class higher than KM1 (G1, V1, D2, T2, RP1) for fabrication of walls, ceilings and filling up suspended ceilings in makeshift units, temporary facilities and exhibition stands is prohibited. Framework structure of suspended ceilings shall be of non-combustible materials only. Highly dusting and soiling materials are not allowed to be used for installation of stands (type GKP, etc.).
8. The use of building materials with fire hazard class higher than KM1 (G1, V1, D2, T2, RP1) for flooring in makeshift units, temporary facilities and exhibition stands is prohibited.
9.Where decorative textiles (drapery) have to be used for styling of facilities (stands, etc.), the fabrics used shall be in conformity with class KM1 (V1, D2, T2) (type CANDLE, or Trevira CS fibre, or equivalent).
10.The use of materials with fire hazard class lower than KM0 (class NG materials) for finishing of walls and ceilings of halls inside the pavilions is prohibited. The use of finishing materials with fire hazard class lower than КМ2 for floor covering in halls inside the pavilions is prohibited (including areas between temporary facilities). Finishing work in escape routes may utilize the following classes of materials: а). KMO – for finishing of walls and ceilings in entrance areas, stairwells and lift lobbies; b). KM1 – for finishing of walls and ceilings in corridors, hallways and lounge areas, as well as for floor covering in entrance areas, stairwells and lift lobbies; c). KM2 – for flooring in corridors, hallways and lounge areas.
11.Each temporary facility (exhibition stand, makeshift units or other facilities) shall have fire safety certificates and materials fireproofing certificates in place as a proof of classification of building materials and applicability of the same.
12.Temporary facilities (conference halls, audience spaces) shall provide for a seat-back to seat-back distance between the rows of chairs etc. of not less than 0.9 m. The number of continuously fitted seats in a row shall not exceed 26 in case of one-way row exit and not more than 50 in case of two-way exit. Chairs etc., or blocks of chairs in halls (over 12 seats) shall be outfitted with floor tie-down fittings. No temporary seats (or blocks) shall be allowed. In halls seating not more than 200 persons, the chairs do not necessarily have to provide for floor tie-down fittings provided that these are linked with one another in a row.
13.Fire-proofed wood ensuring fire hazard class of not more than KM2 (G1, V2, D2, T2, RP1) may be used in floor tie-down fittings for chairs, etc.
14. Hardwood and softwood may only be used with moist roots.
15.Bamboo, reed, thatch, bark, peat and similar materials may only be used where subjected to special pre-treatment.
16. The structure of staircases, access ramps, stairs and foot-bridges shall be in conformity with safety requirements. All staircases, raised platforms and areas shall be outfitted with railing. The railing shall be not less than 1.1 m high fr om floor level and provided with at least upper, intermediate and lower handrails. Staircases’ guard-rails and railing shall be continuous, outfitted with handrails and rated at accommodating loads of not less than 400 kg/sq. m. The height of single-level platforms shall not exceed 0.22 m. The pitch of stairs shall be not more than 1:1; with tread width of not less than 25 cm, and step height of not more than 22 cm. Stair flights and staircase landings shall be not less than 0.9 m wide. Winding, circular etc. stairs shall be prohibited. Floor level differences in way of the routes shall be spaced not less than three steps or a ramp apart, with a pitch of not more than 1:6. Doors (or doorways) shall be not less than 0.8 m wide (1.1 m for areas accommodating 50 and more persons) and not less than 1.9 m high. The headroom in way of stand escape route, also where additional facilities are fitted, shall be not less than 2.2 m.
17.Where furniture, service equipment, exhibition and other equipment have to be arranged inside makeshift units, at exhibition stands (including up-market stands) and at other temporary facilities, passageways to major escape routes (passageways between stands) and to (stand) emergency exits shall be provided. Minimum passageway width shall be not less than 1.2 metres.
18.In order to verify safe evacuation of people and ensure fire safety of the site to be built-up, e.g. a two-storey stand to accommodate an estimated number of visitors of over 50 persons, fire risk analysis shall be carried out in conformity with provisions of clause 5.20 of the Construction Code of Practice, and part 2 of article 6 of Federal Act FZ-123, Technical Regulations for Fire Safety Requirements.
19.A company contracted for installation of temporary facilities (exhibition stands, makeshift units, stage facilities, roll-up pavilions and other facilities) shall ensure attractive appearance of walls and partitions bordering on passageways where the event (exhibition) visitors are likely to be present, by way of decorative finish, displays, etc. The partitions and walls of rooms, facilities, exhibition stands bordering on the neighbouring spaces shall be coloured white. Interior rooms, pavilions, equipment pertaining to EXPOFORUM Centre may not be damaged, soiled or otherwise altered. Paint coating, papering and covering of the surfaces of walls and equipment pertaining to EXPOFORUM Centre with stickers shall be prohibited. Posts and pillars located in the built-up area may be concealed up to a permitted height of the structure provided that these are not damaged therewith.
20.Where a footing or exhibition ramp has to be installed, the same shall be fitted above floor level. Excavation or trench work shall be prohibited. Paint coating of pavilion floors and roadway paving in open spaces shall be prohibited.
21.Where a mortar has to be used, the same shall be mixed and applied to metal, plastic sheets or tarpaulin. Applying mortar to pavilion floors and roadway paving shall be prohibited.
22. Oil and similar substances, where getting on the surface of floors or roadway paving, shall immediately be removed. Carpets and carpet flooring shall be laid in conformity with provisions of safety requirements and may not project outside the job-site. Only polyethylene or polypropylene adhesive tape may be used for carpet to floor or roadway paving bonding. The said materials may not leave any marks on the surface.
23.Where loose materials (soil, sand, etc.) have to be used, access manholes or openings in pavilions and in open spaces pertaining to EXPOFORUM Centre shall be covered and protected against soiling. In case of dusting, dust shall be removed by appropriate means.
24.Only a limited number of structures and equipment pieces may be hung fr om metal structures of EXPOFORUM Centre’s pavilion roofing. Hanging of structures and facilities shall be carried out by Art Festival Ltd. in conformity with the respective request and the drawings approved by the technical management board of EF-International Ltd. Maximum allowable lim it for roof beam load in pavilions shall not exceed the values specified in the Performance Specifications of the International Convention & Exhibition Centre.
25.When elaborating a working design as far as artwork styling of stands, rooms and facilities is concerned, the contractor shall make sure that all lettering applied to the walls, as well as logos and company names, do not project outside the allowed height of the structures and look attractive fr om all view points.
26.The use of slow-motion playback displays and sound effects, like music playback, may be allowed provided that the same do not cause inconvenience to people in neighbouring spaces and do not drown out public address announcements. Maximum permissible loudness level at the edge of a space shall be 70 dB, the sound sources (speakers) to be turned to face inside the space in reference.
27.Where the respective working design has to be elaborated and a two-storey exhibition stands, units and facilities have to be installed, the second floor shall be built so as to accommodate the bearing load as follows:
400 kg/sq. m wh ere the 2nd floor areas are used;
horizontal load on balustrades and railing on the upper edge of the railing pertaining to the upper floor’s bearing walls at a height of 1.10 m from the upper edge to floor shall be rated at 100 kg/m;
load carrying capacity of steps shall be not less than 500 kg/sq. m.
28. Reliability of a two-storey structure shall be verified by the relevant analyses.
29. The design of units, facilities, roll-up pavilions to be set up in open spaces of EXPOFORUM Centre shall be capable of sustaining wind load caused by the air flow rate of up to 30 m/s. Structural calculations shall also make provisions for other climatic effects and loads in conformity with SP (=Construction Regulations) 20.13330.2011, Loads and Impacts.
30.In pursuance of elaborating the respective working design and installing exhibition stands, units and facilities in pavilions and in open spaces pertaining to EXPOFORUM Centre, the contractor shall ensure maximum allowable lim it for distributed floor load as specified in the Performance Specifications of the International Convention & Exhibition Centre.
31.EXIT illuminated indicators shall be fitted in all enclosed makeshift units, stands, facilities (regardless of the number of people present there), as well as in spaces accommodating 50 and more persons at a time, above emergency exits; above emergency exits from the building’s floors, leading directly outside or to a safe area. Evacuation signs shall be fitted (at a height of 2 m) to indicate the direction in corridors more than 50 m long. Fire safety evacuation signs shall be fitted along the entire length of the corridors at a distance of not more than 25 m from one another, and wh ere the corridor bends.
32.Electric cables, water and sewer hoses laid in passageways shall be covered by protective ducts or bridging boards.
33. When performing building-up and makeshift units assembling as well as when hanging temporary structures it is not allowed to work changes of spatial planning decisions due to which conditions for safe evacuation of people worsen, access to fire-extinguishers, fire cocks and other means of fire safety becomes limited or action area of automatic fire protection system (automatic fire-alarm system, stationary automatic sprinkler system, smoke exhaust system, emergency voice alarm communication system). When assembling continuous suspended ceilings and other structures which will separate particular new temporary spaces inside the pavilions of EXPOFORUM Centre (premises, halls, areas, stands etc.) or will block upstream equipments of automatic fire protection systems, spaces under these ceilings and structures shall be protected with additional automatic fire protection systems depending on the regulation requirements (including: with automatic fire alarm system and (or) fire extinguishing units (including modular type) accordingly). It is allowed not to make available the specified additional automatic fire protection systems wh ere: ceiling or other structures will have perforative cyclical structure with perforation holes in terms of area not less than 40% of the ceiling or other structures area, in addition the minimum size of each perforation hole at any section shall be not less than 10 mm and the thickness of ceiling or other structure shall not exceed more than three times the minimal size of perforation nest. When the distance from the ceiling to the top of makeshift walls, partitions, exhibition or other structures is 0.6 m and less, it is necessary to make available additional fire alarms of automatic fire alarm system. Hanging of structures and facilities shall not block the action area of automatic fire protection system equipment.
The permission for all mounting works is issued by LLC "EF-Design" as the General Builder of "Expoforum".

All stands must be equipped and decorated by the official closing time of build-up (see timetable). In case you cannot finish stand construction by 24.00, you can order overtime.
The time limits for installation and dismantling activities shall be extended by way of a request to be signed by the Organizer's duly designated person.
The extension request shall be submitted before 18:00 of a day when the extended time expected to commence. A request submitted after the specified deadline will not be granted.
Extension is payable.
All stands must be equipped and decorated by the end of set-up (see the timetable). Any unattended boxes/containers left randomly around the hall by 16:00 on the last set-up day may be removed from your stand at your expense.
Attention! The removal and packing of exhibits as well as the dismantling of stands are not allowed before the exhibition is officially closed. The construction / dismantling of stands must be finished by the time indicated schedule at the latest.
1.1. All equipment, building materials, stage settings, draperies, lining and other materials used for installation and artwork styling of units, facilities and exhibition stands shall be certified for compliance with fire safety rules in conformity with provisions of Act No. 5151-1 dated 10 June, 1993, of the Russian Federation, On Certification of Goods and Services, by the designated executive certification authorities.
Equipment, appliances and building materials may not be used for installation and styling activities, unless and until the following documents have been furnished:
fire safety certificates (certificates of conformity) for materials and equipment to be used;
contracts for and certificates of fire-proofing of materials to be used for artwork styling of a display (stand) made of fire hazardous materials;copies of licenses issued by the State Fire Service with the Emergencies Ministry of Russia to fire-proofing contractors, copies of the respective work permits for preparation of project design documentation concerning safety of the facilities in reference, as well as fire safety certificates for fire retardants to be used by them.

1.2. The contractors may not use materials with fire hazard class lower than KM1 (G1, V1, D2, T2, RP1) for fabrication of walls and ceilings in makeshift units, temporary facilities and exhibition stands.
1.3. The assembly work contractors may not use materials with fire hazard class lower than KM1 (G1, V1, D2, T2, RP1) for flooring in makeshift units, temporary facilities and exhibition stands.

1.4. Installation and operation of temporary facilities (exhibition stands, makeshift units, stage and other facilities), as well as the use of stage settings, draperies and demonstration equipment for artwork styling of a display will not be allowed unless and until the respective technical documentation is approved by the technical management board of EF-International Ltd.
1.5. Temporary facilities (exhibition stands, makeshift units, stage and other facilities), as well as stage settings and exhibition equipment, may not be installed immediately adjacent to pillars, obstruct the passageways to fire cock cabinets, emergency fire-fighting appliances and exits. Turnstiles and thresholds at entrances and exits shall be prohibited.
Layout of temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) in indoor areas and open spaces shall be subject to the technical specifications of EXPOFORUM International Convention & Exhibition Centre and the Organizer's technical documentation to be agreed with the technical management board of EF-International Ltd.
1.6. All temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) and all premises set up, including those on the second floor, shall, further to provisions of fire safety requirements, be outfitted with CO2 or powder-type 8-litre fire extinguishers and have the respective documents for the same in place.
1.7. Carpets, carpet runners and other types of carpet flooring shall be well secured to the floor around the perimeter and at joints.
1.8. All temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) shall be kept clean at all times. At all stages of installation work and during an activity at temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) it is prohibited to:
use gas facilities, including gas bottles and naked flames for cooking;
stockpile building materials, including building wastes, in passageways, driveways, behind the stands;
install equipment and use materials not provided for by the respective project design documentation;
set up store-rooms, workshops, stockrooms for advertising materials and official goods, souvenirs and refreshments;
move in and install high pressure vessels without written permission of EF-International Ltd.;
use draperies of flammable materials untreatable with flame-retardants;
use flammable paints for coating of stands
store and use highly flammable liquids, inflammable liquids and bottles with combustible gases, as well as the respective containers;
use fire-fighting pipelines for hanging or fastening of equipment, advertising materials, etc.;
connect equipment and appliances to feed piping pertaining to fire-fighting units;
lay electric cables and water pipes in passageways without cable ducts;
cause damage to fire-fighting sprinklers;
use indoor fire cocks pertaining to sprinkler system for purposes other than fire extinguishing;
obstruct (block) fire cocks and access ways to the same with equipment, stands, etc., also hang the fire alarm coverage areas with advertisement banners, posters, stage settings, curtains and other items;
use lampshades of organic glass, polystyrene and other flammable materials in lighting fixtures;
turn off all lights in exhibition halls during exhibitions (functions);
install additional electrical consumers not provided for by the approved electric circuit diagram;
leave powered on equipment and appliances unattended;
use damaged receptacles, cables and wires, other faulty electrical appliances, as well as hot water boilers and heaters with open heating elements and coils;
have spotlights, footlights, floodlights and electric lamps fitted less than 0.5 metres fr om exhibition equipment, stands, stage settings, draperies, fire-fighting sprinklers, have electric lamps and light fixtures wrapped in paper, textiles and other flammable materials, as well as operate light fixtures without caps (lampshades) provided for by a light fixture design;
have the stands and premises cleaned with the use of petrol and other highly flammable liquids and inflammable liquids;
fuel up vehicles on display and dump fuel, leave the same with open fuel tank fillers, and with leaking fuel and oil;
charge batteries directly on vehicles;
have vehicles for transportation of flammable liquids, inflammable liquids and combustible gases fitted in halls.
1.9. Electric switches and protection equipment may not be fitted in lockable rooms. Incoming switchgears shall be easily accessible.
1.10. Where displays (stands, pavilions, tents) have to be arranged in open spaces (areas), the organizers of the respective events shall have the same outfitted with emergency fire-fighting appliances in quantities specified in annex No. 3 to Fire Safety Rules in the Russian Federation.
1.11. The use of naked flames (torches, candles, chandeliers, etc.), as well as practical demonstration of exhibits with the use of naked flames, gunfire, fireworks other pyrotechnical and smoke trick effects may only be allowed in exceptional circumstances and only outdoors subject to a written permission granted by the person in charge of fire safety arrangements on the premises of EXPOFORUM International Convention & Exhibition Centre and in the presence of the respective designated representative of EF-International Ltd.
Upon completion of the function, the site shall be subjected to thorough check, smouldering debris and unburnt elements of pyrotechnics to be cleared away, following which the premises shall be aerated with the aid of ventilation systems.
1.12. All kinds of hot, welding and other fire hazardous work intended to be carried out in display spaces (at stands) shall require the respective work permit to be arranged by the Organizer of an event subject to approval of EF-International Ltd.
1.13. For the period of the respective activity, Organizers of the events shall, further to provisions hereof, have the servicing staff properly briefed on fire-fighting arrangements in order to ensure safe and prompt evacuation of people.
1.14. Where a night-time function hosting 50 and more people has to be held, the Organizers shall inform the fire detachment of the anticipated number of people well in advance.
1.15. Prior to commencement of a function or exhibition, the Organizers of the same shall thoroughly inspect the premises, stands, equipment, temporary electrical power networks and make sure the same are fully operational as far as fire safety is concerned.
1.16. For the respective activity period, the organizers shall ensure attendance of designated persons in charge at stage facilities and in hall areas.
1.17. Attending personnel and hall managers shall, during public events and exhibitions, be provided with direct telephone communication with fire-fighting unit and be aware of the hotline phone number to be used.
1.18. No functions or exhibitions to be visited by 50 and more people may be held in spaces with one emergency exit.
1.19. During public events and exhibitions, attending personnel and hall managers shall have electric torches in case of power cut-off. The number of torches shall be subject to specific features of a building and the equipment layout arrangements, time frames of the function in reference and anticipated number of people staying indoors, however, not less than one per each duty attendant.
1.20. Number of people simultaneously present in crowded areas (50 and more persons), i.e. pavilions, audience halls, exhibition halls, shop floors and other halls and spaces, shall not exceed the number specified in the respective layout design, or, where installation activities are anticipated (exhibition equipment, stage and other facilities), in the respective calculation, subject to provisions for ensuring safe evacuation of people in case of fire.
1.21. Where escape routes and emergency exits are to be used, it is prohibited to:
obstruct escape routes and emergency exits (passageways, corridors, lobbies, galleries, lift lobbies, staircase landings, stair flights, doors, safety exit hatches, etc.), access ways to fire cock cabinets, emergency fire-fighting appliances, alarm and electric switchboard with various materials, articles, equipment, refuse and other items, and otherwise block the emergency exit doors;
fix self-closing doors of stairwells, corridors, hallways and и lobbies in open position, and to have the same removed.
1.22. Smoking in exhibition halls, on the premises (in the area) of the display shall be expressly prohibited and allowed only wh ere the respective permission signs are displayed.
1.23. Shipping containers, packaging and other materials and equipment no longer required shall be immediately moved out of pavilions and kept at storage facilities or in an area (site) designated for the purpose, and building wastes shall be immediately removed by the Builder into truck containers and moved out. 1.23. Every day, upon completion of work, exhibition stands shall be inspected by the Exhibitor's designated representatives and closed only after disconnection of all electrical equipment on booth.
Electrical wiring work shall be carried out in conformity with provisions of Electrical Installations Code, Regulations for Operation of Consumer Electrical Installations, Occupational Safety Rules and the Fire Precautions Manual for Installation (Dismantling) of Temporary Facilities in the Course of Exhibition and Events Held in Pavilions and Open Spaces of EXPOFORUM International Convention & Exhibition Centre by EF-International Ltd.
Personnel employed by a company contracted to assemble the electrical equipment shall meet the requirements applicable to electrical personnel and have electrical safety qualification level not lower than three. A person in charge of electrical facilities (assembly of electrical equipment) shall have electrical safety group of not lower than four.
Each temporary facility shall require the following documents:
Project design documentation worked out in conformity with the Unified System for Design Documentation comprising: supply mains schematic diagram as per GOST 21.613-88, lighting layout (including LED or other electrical background lighting) and wall outlet circuit diagram as per GOST 21.608-84 (site-specific), a full list of electrical equipment (facilities) and materials (including wiring and cables, with the indication of the type, brand and cross section of the same). Ground circuit shall be in conformity with ТN-S standard, indicate the number of switchgears, electrical ratings per item, as well as the gross electrical output for the site.
Project design documentation shall draw upon the respective specifications for building-up of EXPOFORUM International Convention & Exhibition Centre.
Each temporary facility shall be outfitted with electric switchboard with a ground fault interrupter rated at up to 30 mA leakage current, together with protection devices consistent rated at design loads, those intended for lighting circuit and for equipment requiring continuous power supply (refrigerators, fax machines, etc.) segregated fr om one another, the switchboard to be uniformly, to a maximum extent possible, distributed between phases, and to be coming with applied loads scheme.
Background lighting of the facility's lower part at a height of 0.5 m fr om base surface shall provide for a voltage of not less than 50 V AC, or less than 110 V DC.
Switches for lighting and other electrical equipment of the temporary facility in question shall be arranged outside lockable rooms. Input electric distribution boxes shall provide for unimpeded access.
A temporary facility's electrical switchboard shall provide for neutral and ground buses insulated fr om one another (without jumpers). Neutral bus shall be insulated from frame. Metal structures pertaining to a temporary facility shall be electrical switchboard frame grounded. In open spaces, switchgears with IP rating not lower than 65 shall be used, unless the same is located in way of dust- and moisture-proof structures.
Cable lines and wiring shall be by way of copper conductors. Only class ng-LS, FRLS, HRLS cables and wiring may be used (flame resistant, low smoke), with not less than 0.75 sq. mm cross section.
No electrical installation work shall be carried out with the aid of end fixture splices and terminal blocks (unshielded connections). All connections shall be by way electric connectors.
Lighting fixtures fitted onto a temporary facility and hanger elements shall be secured with metal clamps (wires). During installation and dismantling activities, for temporary connection of tools, assembly work contractors shall use the receptacles available in exhibition halls. The use of the same during an exhibition (function) shall be prohibited.
Makeshift compartments and exhibition stands shall be connected when ready. Prior to having the electrical equipment connected, technical management board of EF International Ltd. and EF-Design Ltd. as the General Contractor shall verify readiness of a stand's electrical equipment for connection. Note:
Exhibitor must contact the Technical Department of the exhibition regarding size and weight of large exhibits no later than 30 days prior to installation.
When planning the layout and practical demonstartion of various technical facilities and service equipment, units, hardware, machinery at a stand, as well as in the course of demonstration welding and other hot work, the Exhibitor shall not later than the date specified in the Manual of the participator of the specific exhibition/or event send to EF-International Ltd. a Letter indicating reference data and technical specifications of equipment on display and ancillary facilities, specify the list of materials used for demonstration. Where heavy equipment (over 1 t) has to be exhibited, dimensions and wheight of the same have to be specified.
The technical managment board of EF-International Ltd. inspects the documentation and, as and when necessary, within 3 days makes a request for providing additional information and documents. After receiving and inspecting the required set of documents the technical managment board of EF-International Ltd. makes a decision on granting a demonstration work permit to the Exhibitor or layout equipment on display.
Without prior written consent form the EF-International Ltd. practical demonstartion of various technical facilities and service equipment, units, hardware, machinery at a stand or in a pavillion, as well as demonstration welding and other hot work are prohibited.
All stand equipment ordered will be available on а loan basis only for the duration of the exhibition. Wall panels and other stand material must be returned after the exhibition without any damage caused by nailing, drilling, wall papering, inappropriate self-adhesive tape etc. The cost of repair or replacement of damaged equipment will be charged to the exhibitor. No additional fittings may be attached to the stand shell structure so please ensure that you have enough chain, hooks, etc. to hang posters, banners, etc.
Stands will be built using Octanorm or other systems, that is aluminum poles and beams and plastic laminated panels.
The overall size of standard wall panels used is - 100 х 250 cm.
In case any items included in the standard package are not used, the cost of these items is not reimbursed.
To stabilize construction it might be essential to include additional supporting poles and beams or wall panels which are not necessarily shown on our stand layouts. For further information please contact the Organiser's Technical Service.
Exhibitors with space only sites must comply with the following rules and regulations with regards to their stand designing, building up and decorating.
1. Not later than in 15 days prior to the beginning of exhibition mounting (exposition, action) the company planning to carry out mounting and dismantling, engineering and design works (hereafter – the DEVELOPER) in the territory of EC LENEXPO, represents to ExpoForum-Design Limited the following documents:
The letter fr om the company-exhibitor with the petition for admission to erection of a stand of the company-developer with attached list of equipment and materials, subject to import and export, certified by the director of the company-exhibitor;
The explanatory note to the stand project;
The stand design project executed in the three-dimensional projection, certified by the director of the company-developer;
The stand (exposition) layout plan (drawing) with the scheme of arrangement of water consumers, machines, refrigerator and other equipment, certified by the director of the company-developer. For two-storey stand – floor-by-floor drawings (plans);
The stand isometric view certified by the director of the company-developer (Form 5). This shall be represented in addition:
А) For two-storey stand and stand with podium, with the height above 1 m:
- Three-dimensional model of a platform (podium)
- Technical documentation on the construction set of a platform (podium)
- Calculation of static strength of a platform (podium)
В) For stand where non-standard bearing elements are provided, in addition the technical documentation on these elements shall be represented.
The electric circuit of the stand with locations of electric board and the main consumers, signed by the director of the company-developer;
The power supply scheme of the stand signed by the person responsible for carrying out of electrical mounting work;
The order of the head of the company-developer on the letterhead with stamp about the assignment at this exhibition:
- the responsible person for carrying out electric works and condition of electrical equipment of stand, not below the 4th electrical safety group, with a right to work as administrative technicians;
- the responsible person for ensuring the fire safety;
- the responsible person for carrying out mounting/dismantling works and work safety at the stand.
The list of the personnel having the permission to carry out electrical works (on the letterhead of the company), participating in stand mounting at the concrete exhibition (action), signed by the head of the company;
The list of erectors participating in mounting/dismantling works at the exhibition (stand), certified by the director of the company (the erectors specified in the list should have the permission for work and registration in the RF);
The developer record card (essential elements);
A copy of the Certificate of Conformity to international standards ISO 9000 (GOST R ISO 9001-2008) or a copy of the Competency Certificate issued by self-regulating construction organization (SCO);
The X-copies of certificates of the electrical personnel specified in the list, not below the 3rd electrical safety group, with the mark of certification;
The X-copy of protocols (or magazine) of examinations of the electrical personnel;
The X-copy of the certificate of passing the training on the basics of fire safety of the responsible person for ensuring the fire safety;
The Certificates of Conformity on imported equipment and certificates of fire safety (See the Appendix 2, p. 5) on used materials;
A copy of an agreement on insurance of the risk of liability of the developer for obligations arising as a result of damage caused to the life, health or property of other persons for the term of mounting and dismantling works and exhibition work.
1. Makeshift units, temporary facilities, exhibition stands may only be set up within the boundaries of a marked-out area, passageways to remain free of packaging and building refuse. Where the layout of facilities so installed is found in contravention of the general marking the contractor shall, at its own expense, dismantle and re-install the facilities. No structural components may project outside the allotted area to be built up.
2.The height of temporary facilities and units to be set up in open spaces pertaining to EXPOFORUM Centre shall be in conformity with technical solutions provided for by the respective working design. Maximum possible height of temporary facilities and units to be set up in pavilions of EXPOFORUM Centre shall be as follows:
- pavilions Nos. 1, 2, 3 – 6 metres.
Maximum allowable limit for distributed floor load caused by structures, equipment and machinery, including the Exhibitor’s equipment, shall not exceed the following values:
- pavilions Nos. 1, 2, 3 - 2,5 t/sq.m.
3.Only pre-stressed glass may be used. At a height of over 1.8 m fr om floor level to the upper edge of a facility to be installed, only triplex type safety glass may be used. Glass walls and doors shall bear a conspicuous lettering or pictorial image at a height of 1.5 m.
4.The walls of makeshift units, exhibition stands and facilities and any other means of advertising shall be stable and may not jeopardize health and life of the third persons; framework and elements of the walls and other structures so installed with the use of combustible materials shall be flame-proofed. Back-wall of a stand included in a modular unit (where higher than the neighbouring stand) shall be coloured white, and may not bear any lettering or pictorial images whatsoever. Framework structure of suspended ceilings shall be of non-combustible materials only. The Contractor shall be held liable for safe installation of any structures and shall be capable of proving the same where necessary. Temporary facilities, makeshift units, exhibition stands to be set up by the contractor may not be secured with the aid of neighbouring temporary facilities, makeshift units and exhibition stands.
5. Temporary facilities, makeshift units and exhibition stands and structures may no t be fastened to stationary walls and floor of EXPOFORUM Centre’s pavilions.
6. Installation activities at EXPOFORUM Centre inside the pavilions shall utilizeelements of a high degree of availability, pre-fabricated and coated at the builder’s production facilities. Inside the EXPOFORUM Centre’s pavilions, only assembly of ready elements, sealing and coating of joints shall be allowed, with floors in passageways to be covered with safety film. The use of fixed disk saws, file board sanders not outfitted with dust collectors, naked flame, welding work is prohibited.
7. The use of building materials with fire hazard class higher than KM1 (G1, V1, D2, T2, RP1) for fabrication of walls, ceilings and filling up suspended ceilings in makeshift units, temporary facilities and exhibition stands is prohibited. Framework structure of suspended ceilings shall be of non-combustible materials only. Highly dusting and soiling materials are not allowed to be used for installation of stands (type GKP, etc.).
8. The use of building materials with fire hazard class higher than KM1 (G1, V1, D2, T2, RP1) for flooring in makeshift units, temporary facilities and exhibition stands is prohibited.
9.Where decorative textiles (drapery) have to be used for styling of facilities (stands, etc.), the fabrics used shall be in conformity with class KM1 (V1, D2, T2) (type CANDLE, or Trevira CS fibre, or equivalent).
10.The use of materials with fire hazard class lower than KM0 (class NG materials) for finishing of walls and ceilings of halls inside the pavilions is prohibited. The use of finishing materials with fire hazard class lower than КМ2 for floor covering in halls inside the pavilions is prohibited (including areas between temporary facilities). Finishing work in escape routes may utilize the following classes of materials: а). KMO – for finishing of walls and ceilings in entrance areas, stairwells and lift lobbies; b). KM1 – for finishing of walls and ceilings in corridors, hallways and lounge areas, as well as for floor covering in entrance areas, stairwells and lift lobbies; c). KM2 – for flooring in corridors, hallways and lounge areas.
11.Each temporary facility (exhibition stand, makeshift units or other facilities) shall have fire safety certificates and materials fireproofing certificates in place as a proof of classification of building materials and applicability of the same.
12.Temporary facilities (conference halls, audience spaces) shall provide for a seat-back to seat-back distance between the rows of chairs etc. of not less than 0.9 m. The number of continuously fitted seats in a row shall not exceed 26 in case of one-way row exit and not more than 50 in case of two-way exit. Chairs etc., or blocks of chairs in halls (over 12 seats) shall be outfitted with floor tie-down fittings. No temporary seats (or blocks) shall be allowed. In halls seating not more than 200 persons, the chairs do not necessarily have to provide for floor tie-down fittings provided that these are linked with one another in a row.
13.Fire-proofed wood ensuring fire hazard class of not more than KM2 (G1, V2, D2, T2, RP1) may be used in floor tie-down fittings for chairs, etc.
14. Hardwood and softwood may only be used with moist roots.
15.Bamboo, reed, thatch, bark, peat and similar materials may only be used where subjected to special pre-treatment.
16. The structure of staircases, access ramps, stairs and foot-bridges shall be in conformity with safety requirements. All staircases, raised platforms and areas shall be outfitted with railing. The railing shall be not less than 1.1 m high fr om floor level and provided with at least upper, intermediate and lower handrails. Staircases’ guard-rails and railing shall be continuous, outfitted with handrails and rated at accommodating loads of not less than 400 kg/sq. m. The height of single-level platforms shall not exceed 0.22 m. The pitch of stairs shall be not more than 1:1; with tread width of not less than 25 cm, and step height of not more than 22 cm. Stair flights and staircase landings shall be not less than 0.9 m wide. Winding, circular etc. stairs shall be prohibited. Floor level differences in way of the routes shall be spaced not less than three steps or a ramp apart, with a pitch of not more than 1:6. Doors (or doorways) shall be not less than 0.8 m wide (1.1 m for areas accommodating 50 and more persons) and not less than 1.9 m high. The headroom in way of stand escape route, also where additional facilities are fitted, shall be not less than 2.2 m.
17.Where furniture, service equipment, exhibition and other equipment have to be arranged inside makeshift units, at exhibition stands (including up-market stands) and at other temporary facilities, passageways to major escape routes (passageways between stands) and to (stand) emergency exits shall be provided. Minimum passageway width shall be not less than 1.2 metres.
18.In order to verify safe evacuation of people and ensure fire safety of the site to be built-up, e.g. a two-storey stand to accommodate an estimated number of visitors of over 50 persons, fire risk analysis shall be carried out in conformity with provisions of clause 5.20 of the Construction Code of Practice, and part 2 of article 6 of Federal Act FZ-123, Technical Regulations for Fire Safety Requirements.
19.A company contracted for installation of temporary facilities (exhibition stands, makeshift units, stage facilities, roll-up pavilions and other facilities) shall ensure attractive appearance of walls and partitions bordering on passageways where the event (exhibition) visitors are likely to be present, by way of decorative finish, displays, etc. The partitions and walls of rooms, facilities, exhibition stands bordering on the neighbouring spaces shall be coloured white. Interior rooms, pavilions, equipment pertaining to EXPOFORUM Centre may not be damaged, soiled or otherwise altered. Paint coating, papering and covering of the surfaces of walls and equipment pertaining to EXPOFORUM Centre with stickers shall be prohibited. Posts and pillars located in the built-up area may be concealed up to a permitted height of the structure provided that these are not damaged therewith.
20.Where a footing or exhibition ramp has to be installed, the same shall be fitted above floor level. Excavation or trench work shall be prohibited. Paint coating of pavilion floors and roadway paving in open spaces shall be prohibited.
21.Where a mortar has to be used, the same shall be mixed and applied to metal, plastic sheets or tarpaulin. Applying mortar to pavilion floors and roadway paving shall be prohibited.
22. Oil and similar substances, where getting on the surface of floors or roadway paving, shall immediately be removed. Carpets and carpet flooring shall be laid in conformity with provisions of safety requirements and may not project outside the job-site. Only polyethylene or polypropylene adhesive tape may be used for carpet to floor or roadway paving bonding. The said materials may not leave any marks on the surface.
23.Where loose materials (soil, sand, etc.) have to be used, access manholes or openings in pavilions and in open spaces pertaining to EXPOFORUM Centre shall be covered and protected against soiling. In case of dusting, dust shall be removed by appropriate means.
24.Only a limited number of structures and equipment pieces may be hung fr om metal structures of EXPOFORUM Centre’s pavilion roofing. Hanging of structures and facilities shall be carried out by Art Festival Ltd. in conformity with the respective request and the drawings approved by the technical management board of EF-International Ltd. Maximum allowable lim it for roof beam load in pavilions shall not exceed the values specified in the Performance Specifications of the International Convention & Exhibition Centre.
25.When elaborating a working design as far as artwork styling of stands, rooms and facilities is concerned, the contractor shall make sure that all lettering applied to the walls, as well as logos and company names, do not project outside the allowed height of the structures and look attractive fr om all view points.
26.The use of slow-motion playback displays and sound effects, like music playback, may be allowed provided that the same do not cause inconvenience to people in neighbouring spaces and do not drown out public address announcements. Maximum permissible loudness level at the edge of a space shall be 70 dB, the sound sources (speakers) to be turned to face inside the space in reference.
27.Where the respective working design has to be elaborated and a two-storey exhibition stands, units and facilities have to be installed, the second floor shall be built so as to accommodate the bearing load as follows:
400 kg/sq. m wh ere the 2nd floor areas are used;
horizontal load on balustrades and railing on the upper edge of the railing pertaining to the upper floor’s bearing walls at a height of 1.10 m from the upper edge to floor shall be rated at 100 kg/m;
load carrying capacity of steps shall be not less than 500 kg/sq. m.
28. Reliability of a two-storey structure shall be verified by the relevant analyses.
29. The design of units, facilities, roll-up pavilions to be set up in open spaces of EXPOFORUM Centre shall be capable of sustaining wind load caused by the air flow rate of up to 30 m/s. Structural calculations shall also make provisions for other climatic effects and loads in conformity with SP (=Construction Regulations) 20.13330.2011, Loads and Impacts.
30.In pursuance of elaborating the respective working design and installing exhibition stands, units and facilities in pavilions and in open spaces pertaining to EXPOFORUM Centre, the contractor shall ensure maximum allowable lim it for distributed floor load as specified in the Performance Specifications of the International Convention & Exhibition Centre.
31.EXIT illuminated indicators shall be fitted in all enclosed makeshift units, stands, facilities (regardless of the number of people present there), as well as in spaces accommodating 50 and more persons at a time, above emergency exits; above emergency exits from the building’s floors, leading directly outside or to a safe area. Evacuation signs shall be fitted (at a height of 2 m) to indicate the direction in corridors more than 50 m long. Fire safety evacuation signs shall be fitted along the entire length of the corridors at a distance of not more than 25 m from one another, and wh ere the corridor bends.
32.Electric cables, water and sewer hoses laid in passageways shall be covered by protective ducts or bridging boards.
33. When performing building-up and makeshift units assembling as well as when hanging temporary structures it is not allowed to work changes of spatial planning decisions due to which conditions for safe evacuation of people worsen, access to fire-extinguishers, fire cocks and other means of fire safety becomes limited or action area of automatic fire protection system (automatic fire-alarm system, stationary automatic sprinkler system, smoke exhaust system, emergency voice alarm communication system). When assembling continuous suspended ceilings and other structures which will separate particular new temporary spaces inside the pavilions of EXPOFORUM Centre (premises, halls, areas, stands etc.) or will block upstream equipments of automatic fire protection systems, spaces under these ceilings and structures shall be protected with additional automatic fire protection systems depending on the regulation requirements (including: with automatic fire alarm system and (or) fire extinguishing units (including modular type) accordingly). It is allowed not to make available the specified additional automatic fire protection systems wh ere: ceiling or other structures will have perforative cyclical structure with perforation holes in terms of area not less than 40% of the ceiling or other structures area, in addition the minimum size of each perforation hole at any section shall be not less than 10 mm and the thickness of ceiling or other structure shall not exceed more than three times the minimal size of perforation nest. When the distance from the ceiling to the top of makeshift walls, partitions, exhibition or other structures is 0.6 m and less, it is necessary to make available additional fire alarms of automatic fire alarm system. Hanging of structures and facilities shall not block the action area of automatic fire protection system equipment.

All stands must be equipped and decorated by the official closing time of build-up (see timetable). In case you cannot finish stand construction by 24.00, you can order overtime.
The time limits for installation and dismantling activities shall be extended by way of a request to be signed by the Organizer's duly designated person.
The extension request shall be submitted before 18:00 of a day when the extended time expected to commence. A request submitted after the specified deadline will not be granted.
Extension is payable.
All stands must be equipped and decorated by the end of set-up (see the timetable). Any unattended boxes/containers left randomly around the hall by 16:00 on the last set-up day may be removed from your stand at your expense.
Attention! The removal and packing of exhibits as well as the dismantling of stands are not allowed before the exhibition is officially closed. The construction / dismantling of stands must be finished by the time indicated schedule at the latest.
1.1. All equipment, building materials, stage settings, draperies, lining and other materials used for installation and artwork styling of units, facilities and exhibition stands shall be certified for compliance with fire safety rules in conformity with provisions of Act No. 5151-1 dated 10 June, 1993, of the Russian Federation, On Certification of Goods and Services, by the designated executive certification authorities.
Equipment, appliances and building materials may not be used for installation and styling activities, unless and until the following documents have been furnished:
fire safety certificates (certificates of conformity) for materials and equipment to be used;
contracts for and certificates of fire-proofing of materials to be used for artwork styling of a display (stand) made of fire hazardous materials;copies of licenses issued by the State Fire Service with the Emergencies Ministry of Russia to fire-proofing contractors, copies of the respective work permits for preparation of project design documentation concerning safety of the facilities in reference, as well as fire safety certificates for fire retardants to be used by them.

1.2. The contractors may not use materials with fire hazard class lower than KM1 (G1, V1, D2, T2, RP1) for fabrication of walls and ceilings in makeshift units, temporary facilities and exhibition stands.
1.3. The assembly work contractors may not use materials with fire hazard class lower than KM1 (G1, V1, D2, T2, RP1) for flooring in makeshift units, temporary facilities and exhibition stands.
Hardwood and softwood may only be used with moist roots. Bamboo, reed, thatch, bark, peat and similar materials may only be used where subjected to special pre-treatment.
1.4. Installation and operation of temporary facilities (exhibition stands, makeshift units, stage and other facilities), as well as the use of stage settings, draperies and demonstration equipment for artwork styling of a display will not be allowed unless and until the respective technical documentation is approved by the technical management board of EF-International Ltd.
1.5. Temporary facilities (exhibition stands, makeshift units, stage and other facilities), as well as stage settings and exhibition equipment, may not be installed immediately adjacent to pillars, obstruct the passageways to fire cock cabinets, emergency fire-fighting appliances and exits. Turnstiles and thresholds at entrances and exits shall be prohibited.
Layout of temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) in indoor areas and open spaces shall be subject to the technical specifications of EXPOFORUM International Convention & Exhibition Centre and the Organizer's technical documentation to be agreed with the technical management board of EF-International Ltd.
1.6. All temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) and all premises set up, including those on the second floor, shall, further to provisions of fire safety requirements, be outfitted with CO2 or powder-type 8-litre fire extinguishers and have the respective documents for the same in place.
1.7. Carpets, carpet runners and other types of carpet flooring shall be well secured to the floor around the perimeter and at joints.
1.8. All temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) shall be kept clean at all times. At all stages of installation work and during an activity at temporary facilities (exhibition stands, makeshift compartments, stage and other facilities) it is prohibited to:
use gas facilities, including gas bottles and naked flames for cooking;
stockpile building materials, including building wastes, in passageways, driveways, behind the stands;
install equipment and use materials not provided for by the respective project design documentation;
set up store-rooms, workshops, stockrooms for advertising materials and official goods, souvenirs and refreshments;
move in and install high pressure vessels without written permission of EF-International Ltd.;
use draperies of flammable materials untreatable with flame-retardants;
use flammable paints for coating of stands
store and use highly flammable liquids, inflammable liquids and bottles with combustible gases, as well as the respective containers;
use fire-fighting pipelines for hanging or fastening of equipment, advertising materials, etc.;
connect equipment and appliances to feed piping pertaining to fire-fighting units;
lay electric cables and water pipes in passageways without cable ducts;
cause damage to fire-fighting sprinklers;
use indoor fire cocks pertaining to sprinkler system for purposes other than fire extinguishing;
obstruct (block) fire cocks and access ways to the same with equipment, stands, etc., also hang the fire alarm coverage areas with advertisement banners, posters, stage settings, curtains and other items;
use lampshades of organic glass, polystyrene and other flammable materials in lighting fixtures;
turn off all lights in exhibition halls during exhibitions (functions);
install additional electrical consumers not provided for by the approved electric circuit diagram;
leave powered on equipment and appliances unattended;
use damaged receptacles, cables and wires, other faulty electrical appliances, as well as hot water boilers and heaters with open heating elements and coils;
have spotlights, footlights, floodlights and electric lamps fitted less than 0.5 metres fr om exhibition equipment, stands, stage settings, draperies, fire-fighting sprinklers, have electric lamps and light fixtures wrapped in paper, textiles and other flammable materials, as well as operate light fixtures without caps (lampshades) provided for by a light fixture design;
have the stands and premises cleaned with the use of petrol and other highly flammable liquids and inflammable liquids;
fuel up vehicles on display and dump fuel, leave the same with open fuel tank fillers, and with leaking fuel and oil;
charge batteries directly on vehicles;
have vehicles for transportation of flammable liquids, inflammable liquids and combustible gases fitted in halls.
1.9. Electric switches and protection equipment may not be fitted in lockable rooms. Incoming switchgears shall be easily accessible.
1.10. Where displays (stands, pavilions, tents) have to be arranged in open spaces (areas), the organizers of the respective events shall have the same outfitted with emergency fire-fighting appliances in quantities specified in annex No. 3 to Fire Safety Rules in the Russian Federation.
1.11. The use of naked flames (torches, candles, chandeliers, etc.), as well as practical demonstration of exhibits with the use of naked flames, gunfire, fireworks other pyrotechnical and smoke trick effects may only be allowed in exceptional circumstances and only outdoors subject to a written permission granted by the person in charge of fire safety arrangements on the premises of EXPOFORUM International Convention & Exhibition Centre and in the presence of the respective designated representative of EF-International Ltd.
Upon completion of the function, the site shall be subjected to thorough check, smouldering debris and unburnt elements of pyrotechnics to be cleared away, following which the premises shall be aerated with the aid of ventilation systems.
1.12. All kinds of hot, welding and other fire hazardous work intended to be carried out in display spaces (at stands) shall require the respective work permit to be arranged by the Organizer of an event subject to approval of EF-International Ltd.
1.13. For the period of the respective activity, Organizers of the events shall, further to provisions hereof, have the servicing staff properly briefed on fire-fighting arrangements in order to ensure safe and prompt evacuation of people.
1.14. Where a night-time function hosting 50 and more people has to be held, the Organizers shall inform the fire detachment of the anticipated number of people well in advance.
1.15. Prior to commencement of a function or exhibition, the Organizers of the same shall thoroughly inspect the premises, stands, equipment, temporary electrical power networks and make sure the same are fully operational as far as fire safety is concerned.
1.16. For the respective activity period, the organizers shall ensure attendance of designated persons in charge at stage facilities and in hall areas.
1.17. Attending personnel and hall managers shall, during public events and exhibitions, be provided with direct telephone communication with fire-fighting unit and be aware of the hotline phone number to be used.
1.18. No functions or exhibitions to be visited by 50 and more people may be held in spaces with one emergency exit.
1.19. During public events and exhibitions, attending personnel and hall managers shall have electric torches in case of power cut-off. The number of torches shall be subject to specific features of a building and the equipment layout arrangements, time frames of the function in reference and anticipated number of people staying indoors, however, not less than one per each duty attendant.
1.20. Number of people simultaneously present in crowded areas (50 and more persons), i.e. pavilions, audience halls, exhibition halls, shop floors and other halls and spaces, shall not exceed the number specified in the respective layout design, or, where installation activities are anticipated (exhibition equipment, stage and other facilities), in the respective calculation, subject to provisions for ensuring safe evacuation of people in case of fire.
1.21. Where escape routes and emergency exits are to be used, it is prohibited to:
obstruct escape routes and emergency exits (passageways, corridors, lobbies, galleries, lift lobbies, staircase landings, stair flights, doors, safety exit hatches, etc.), access ways to fire cock cabinets, emergency fire-fighting appliances, alarm and electric switchboard with various materials, articles, equipment, refuse and other items, and otherwise block the emergency exit doors;
fix self-closing doors of stairwells, corridors, hallways and и lobbies in open position, and to have the same removed.
1.22. Smoking in exhibition halls, on the premises (in the area) of the display shall be expressly prohibited and allowed only wh ere the respective permission signs are displayed.
1.23. Shipping containers, packaging and other materials and equipment no longer required shall be immediately moved out of pavilions and kept at storage facilities or in an area (site) designated for the purpose, and building wastes shall be immediately removed by the Builder into truck containers and moved out. 1.23. Every day, upon completion of work, exhibition stands shall be inspected by the Exhibitor's designated representatives and closed only after disconnection of all electrical equipment on booth.
Electrical wiring work shall be carried out in conformity with provisions of Electrical Installations Code, Regulations for Operation of Consumer Electrical Installations, Occupational Safety Rules and the Fire Precautions Manual for Installation (Dismantling) of Temporary Facilities in the Course of Exhibition and Events Held in Pavilions and Open Spaces of EXPOFORUM International Convention & Exhibition Centre by EF-International Ltd.
Personnel employed by a company contracted to assemble the electrical equipment shall meet the requirements applicable to electrical personnel and have electrical safety qualification level not lower than three. A person in charge of electrical facilities (assembly of electrical equipment) shall have electrical safety group of not lower than four.
Each temporary facility shall require the following documents:
Project design documentation worked out in conformity with the Unified System for Design Documentation comprising: supply mains schematic diagram as per GOST 21.613-88, lighting layout (including LED or other electrical background lighting) and wall outlet circuit diagram as per GOST 21.608-84 (site-specific), a full list of electrical equipment (facilities) and materials (including wiring and cables, with the indication of the type, brand and cross section of the same). Ground circuit shall be in conformity with ТN-S standard, indicate the number of switchgears, electrical ratings per item, as well as the gross electrical output for the site.
Project design documentation shall draw upon the respective specifications for building-up of EXPOFORUM International Convention & Exhibition Centre.
Each temporary facility shall be outfitted with electric switchboard with a ground fault interrupter rated at up to 30 mA leakage current, together with protection devices consistent rated at design loads, those intended for lighting circuit and for equipment requiring continuous power supply (refrigerators, fax machines, etc.) segregated fr om one another, the switchboard to be uniformly, to a maximum extent possible, distributed between phases, and to be coming with applied loads scheme.
Background lighting of the facility's lower part at a height of 0.5 m fr om base surface shall provide for a voltage of not less than 50 V AC, or less than 110 V DC.
Switches for lighting and other electrical equipment of the temporary facility in question shall be arranged outside lockable rooms. Input electric distribution boxes shall provide for unimpeded access.
A temporary facility's electrical switchboard shall provide for neutral and ground buses insulated fr om one another (without jumpers). Neutral bus shall be insulated from frame. Metal structures pertaining to a temporary facility shall be electrical switchboard frame grounded. In open spaces, switchgears with IP rating not lower than 65 shall be used, unless the same is located in way of dust- and moisture-proof structures.
Cable lines and wiring shall be by way of copper conductors. Only class ng-LS, FRLS, HRLS cables and wiring may be used (flame resistant, low smoke), with not less than 0.75 sq. mm cross section.
No electrical installation work shall be carried out with the aid of end fixture splices and terminal blocks (unshielded connections). All connections shall be by way electric connectors.
Lighting fixtures fitted onto a temporary facility and hanger elements shall be secured with metal clamps (wires). During installation and dismantling activities, for temporary connection of tools, assembly work contractors shall use the receptacles available in exhibition halls. The use of the same during an exhibition (function) shall be prohibited.
Makeshift compartments and exhibition stands shall be connected when ready. Prior to having the electrical equipment connected, technical management board of EF International Ltd. and EF-Design Ltd. as the General Contractor shall verify readiness of a stand's electrical equipment for connection. In case of order placement after the exhibition deadline, Technical department cannot guarantee the full service delivery.
In cases when Client does not provide requested technical documentation needed for order confirmation, Organizer reserves the right of order cancellation.
Approved order has to be fully paid in 5 days after the date of invoicing, but not later than the first assembling date.
In case of late payment, Organizer reserves the right to cancel the order. The new order will be placed according to the current prices and surcharge rates.
In case of order cancellation less than 30 days in prior to the first assembling day of the Exhibition, Participant has to pay 50% of order. In case of order cancellation less than 15 days in prior before the firs assembling date, Participant has to pay 100% of the order.
Any changes of confirmed order entails its cancellation and registration of a new order according to the current prices and surcharge rates.
Orders from Contractor organizations of the Exhibitor (advertising agencies, builders and others) are accepted only after the written confirmation of the status of these organizations from the Exhibitor's side.
